We are seeking an office manager to support the Director of Finance in the Accounting functions of the business. Including but not limited to overseeing timekeeping activities, cost reporting, invoicing, purchasing, and other administrative duties, as necessary.

Responsibilities

  • Coordinate and organize office activities

  • Oversee stock of office supplies

  • Greet incoming visitors at the front desk

  • Coordinate inbound and outbound office mail

  • Ensures compliance with and records local, state, and federal tax requirements/payments.

  • Ensures that accounting receives all paperwork and information from the field on a timely basis.

  • Coordinate sales, leadership, and training meeting for every department.

  • Accounts Receivables/Accounts Payables, general accounting duties, bank reconciliation, QuickBooks Reports.

  • Coordinates with company Director of Finance to prepare financials and taxes at year-end.

Qualifications

  • Experience with administrative and clerical work Proficiency in Microsoft Office

  • Strong communication skills

  • Must have an ability to multitask and keep track of information that is changing/moving daily in this environment.

  • Must be self-motivated, positive in approach, professional, and lead others to grow professionally

  • Able to create an atmosphere of cooperation and professionalism

Required Work Experience and Skills:

  • Preferably have a bachelor’s degree.

  • Must possess a minimum of two (2) to four (4) years experience in an office environment; preferably in office management.

  • Detail-oriented and able to understand and manage the minute details of his/her department.

  • Able to effectively network with an external company team to include: director of finance, attorneys, bankers, consultants, peers, professional associations, educators, etc.

  • Able to analyze, understand and implement appropriate business systems.

  • Able to coordinate with, take direction from, and effectively implement CEO or Controller directives.

  • Understands accounting and tax requirements as they pertain to the organization.

Physical Requirements:

  • Sedentary work; involves sitting most of the time

  • Occasional movement around the facility may be necessary

  • Regular work with computers, including keyboards, mouses, and screens

Required Language: English/Spanish

Preferred Work Experience and Skills:

  • Experience within the construction industry is preferred but not required.
